REMOTE WORK REQUEST

In alignment with new expectations set by the University System of Georgia that effective Aug. 1, 2025 employees work on campus five days per week, please find information about GSU’s approach to ensure organizational excellence.
Please note that all existing remote work agreements will expire on July 31, 2025. Please review the new process for requesting remote work for unique circumstances.
SUBMITTING A REMOTE WORK REQUEST
Remote work arrangements are designed to support institutional goals and must align with the University System of Georgia (USG) Human Resources Administrative Practices (HRAP) guidelines. To be eligible, employees and their positions must meet the following criteria:
- Institutional Benefit: The alternative work arrangement must benefit GSU students and mission.
- Employee Standing: Employees must be in good standing and not under a performance improvement plan.
- Position Suitability: The role must include measurable, results-oriented performance standards that support independent work and are suitable for remote work, if applicable.
This process is intended for voluntary, non-medical requests for remote work only. Remote work will be limited to no more than two days per week. Any informal or outdated agreements before Aug. 1, 2025, will no longer be valid. Medical or disability-related accommodations must be requested through the HR Benefits Office.
SUBMISSION PROCESS
Note: This request process must be initiated by managers on behalf of their employees. Submissions made by employees will be returned.
Before submission, supervisors and employees should discuss the viability of a remote work arrangement to ensure it aligns with institutional goals and eligibility guidelines. Once confirmed, managers will complete and submit the Remote Work Request Form through ServiceNow on the employee’s behalf.
- Managers should consult with their unit’s HR Liaison prior to submission and follow any unit-specific expectations or protocols.
- Once the request is submitted, it will move through a structured workflow in ServiceNow for review and approvals.
- Final decisions are communicated via email after the employee signs the agreement.

APPROVAL PROCESS
Manager
- Initiates the request on behalf of the employee in ServiceNow after discussing the arrangement with the employee.
- Consults with the HR Liaison and ensures alignment with unit procedures.
HR Liaison
- Reviews the request to ensure accuracy and compliance with policy.
- Signs the request and forwards for dean/vice president review or returns to submitter and indicates the reason.
Dean/Vice President
- Evaluates the request to ensure it aligns with unit goals and responsibilities.
- Signs and forwards the request for executive-level approval or denies the request and the system notifies submitter.
Chief Human Resources Officer (CHRO) or Designee
- Finalizes the request and confirms alignment with university-wide standards.
- Makes recommendation for approval or denial and forwards to University Provost/EVP-COO.
Executive Leadership
- The University Provost or Chief Operating Officer provides institutional review and approval or denial.
Employee
- Reviews and signs the agreement indicating they agree to the arrangement that has been approved on their behalf.
Final Notification
- A confirmation email is automatically sent to the employee and all approvers, once the request is approved or denied.
NOTIFICATIONS
- Managers who submit requests on behalf of employees can track the status of submissions in the "My Requests" section of ServiceNow.
- Email notifications will be sent to the employee's manager if a request is declined at any stage of the approval process or denied during final review. The manager will communicate the denial to the employee.
- If the request is fully approved and signed by all parties, a confirmation email will be sent to the employee, the submitting manager, all approvers and the CHRO.
